How to Enable Email Notification for Notes Creation?

Before enabling note notification, you need to create appropriate email templates that will be automatically sent by the system each time a note is created.

Steps to create the Email Template

  • Login and access the Cases App from the universal menu.
  • Click on the More(...) icon and select the settings.
Cases
  • In the Settings page, click on the Email and select the Email Templates.

  • Click on the Create button.

  • In the Create template page, enter the Template name.
  • Then, add the Subject of the Template email.

  • You can insert the attributes of the Cases app by using the Insert Attributes.
Subject
  • Enable the Toggles.
    • Available for Compose Mail - to make the Template available for the Compose mails.
    • Available for Note - to make the Template available for the Notes.
Toggles
  • Enter the body of the message as per your business preferences.
Body
  • Then, click on the Create button.

  • You can view the Created Template in the list.

Steps to Enable Email Notification

  • In the Settings page, click on the Email Notification under the General.
  • Select the Note Created.

  • Enable the Email notification Toggle.

  • By enabling the Toggle, you can view the Create button.
Create Notification
  • Click on the create button, you can view the Create Notification page.
  • Add the name of the Notification and the Description as per your notification.

  • In the Notify Recipients, you can add the separate templates for each customer, Assignee(s), and Other Recipients.
  • Chose the Created templates in the Customers dropdown option.

  • Select the Templates for the Assignee(s) and for the Other(s).
  • Click on the create button.

  • You can view the Created Notification in the list.
Updated
  • Now, go to the Case Overview page.
  • Click on the Notes Tab and create Notes.
Create Note
  • The Create Notes side panel will get appear, selects the Template for the Notes.

  • Scroll down to view the Notification details, you can view the Toggles of Share with Customer, Share with Assignees and share with Others.
    • By enabling the Share with Customer - the Customer will receive the Notes Notification with the selected email templates.
    • By enabling the Share with Assignees - the assigned persons will get the notification with the selected email templates.
    • By enabling the Others Toggle, you can add the new email ids of the persons for whom you want to notify the notes.
Notification Details
  • You can add the multiple email-id by using the Add email option
  • Then, click on the Create button.
Add Email
  • Notes will get created.
Created Notes
  • The customer will get the email notification with the selected template when the notes are created.
Assignee Email
  • Others will receive the email notification with the selected template.
