How to set Triggers for standard Ref App fields?

The Reference field created can be used as one of the Trigger to Attribute in Send Email Actions of the Triggers creation. The master layout allows you to associates with other apps. The first and foremost thing that you need to do is, create a Ref App field. Then select the Reference App you'd like to link to the reference field.

For Instance: Consider an Employee wants to trigger an Email to Manager whenever the Sales stage of an Opportunity needs analysis (“Sales stage = Needs analysis”). Using this scenario we shall see how to use Reference App field in Triggers creation page. For that, let's first create a custom reference field (“Manager”) in Opportunities App.

Steps to Setup Ref App Field


  • Login and access Opportunities App from the universal navigation menu bar.
  • Click on “More (...)” icon -> “Settings” -> “Customize App” -> “Master Layout”.

  • Drag and drop "Ref App" attribute in the section.

  • Click on that field and choose the reference object and reference field in the inspector tab. Click on "Save" to complete.

  • Customize Ref App field will appear in the Opportunities creation page.

Steps to Trigger an Email for Ref App Fields


  • In Opportunities App, Click on “More (...)” icon -> “Settings” -> “Opportunities” -> “Triggers”.

  • Select “Event Based” or “Time Based” triggers from the dropdown. Click on “Create”.
  • In the “Criteria” section, define the criteria as “Sales stage = Needs analysis”, by selecting the required attributes from the drop down.

  • In the “Action” section, select “Send Email” in “Add” Dropdown.
  • To Create External Email popup will be displayed. Select “Trigger To” as “Manager” and Click on “Create”.

  • So, now whenever an Opportunity is with “Sales stage = Needs analysis”, an email will be triggered to the Manager.
