How do I map the fields using custom conversion in Estimates App?

Estimates App allows you to convert your Estimates to Invoice, Order, Project, Work Order, Kit Order using the conversion feature. This conversion can be restricted, by customizing this in the Settings.

Apptivo provides two kinds of Conversions:

  • Standard Conversion
  • Custom Conversion

Standard Conversion

Standard Conversion allows you to convert a record from Estimates App to another App. In Standard Conversion, all the information present in the record is converted to another App.

  • You can access Standard Conversion from Settings in the Estimates App → Estimates → Conversion → Standard Conversion.

  • You can also set the privileges on who can perform the conversion process. If a user wants to perform the conversion from Estimates to Invoices app, then they should need the privilege to access the Estimates to Invoice Conversion.
  • If the access has to restricted for a particular user to perform the Estimates to Invoices conversion, then the Privileges can be set from Employees App.

For Instance: Let us consider converting a record from Estimates App to Invoices App.

  • Go to Show All in Estimates App and select a record to convert.

  • Select Convert → To Invoice from the Overview page to convert the record.

  • Once the record is converted, you will be redirected to Create Invoice from the Estimate page. The data from the Estimates App is moved to Invoices App.

  • Once the record is saved, a new Invoice is created with the data from the Estimates App.

Custom Conversion

Custom conversion enables you to convert the particular attributes of a record in the Estimates App to another App. Here, you can decide the values for conversion.

  • You can access Custom Conversion from Settings in the Estimates App → Estimates → Conversion → Custom Conversion. Here, select Mapping to choose the attributes.

For Instance: Let us convert a record from Estimates App to Orders App.

  • Select the Mapping function of the Orders App and select the attributes for conversion.

For example, I have linked the Estimate date of Estimates App with the Ordered date and selected Update.

  • You will receive a notification once the mapping is complete.

  • Go to Show All in Estimates App and select a record to convert.

  • Select Convert → To Orders from the Overview page to convert the record.

  • Once the record is converted, you will be redirected to Create Order page. Here, the selected attribute’s value will be mapped in the Orders’ record.

  • You can add other values to the Create Order page and save the record.

Converting Multiple Times

Custom Conversion has a feature that allows conversion of a record multiple times.

Instance 1: When Allow Conversion Multiple Times is turned ON in the Orders App.

  • The record which has already been converted can be converted again. Here, the record Caroline is already converted to Orders App.

  • When the conversion process is selected, you can convert it again to Orders App.

Instance 2: When Allow Conversion Multiple Times is turned OFF in the Orders App.

  • When the conversion process is selected, you cannot convert it again to Orders App.

Disable Conversion

Along with allowing Conversion to any other apps, the Estimates app enables you to disable conversions.

  • You can disable conversion by turning OFF the toggle button. Let us consider disabling conversion to Projects App.

  • Now, when you attempt to convert a record to Projects App, you can see the Convert to → Projects is unavailable in the dropdown.
