Objects are the various functionalities offered by Apptivo to perform different operations in the records. The different functions provided by Apptivo are Archive, Delete, Email Invoice, Preview, Print PDF, Record Payment, Save for Later, Send, Void, and Make Payment.
Invoices App in Apptivo authorizes you to determine the functions that can be performed by your Employees.
You can adjust the privileges in the Objects tab to achieve this.
What are the Privileges available in Invoices App?
- Go to Settings → Security → Actions → Objects to adjust the visibility in the Invoices App.
- You can see the list of Objects associated with the Invoices App. Each Object has a set of privileges that gives different access to the employees.
- You can set the privileges from the Employees App. If an Employee has the selected Privilege, then he has access to the particular object.
- You can also create a new privilege for the Objects by selecting Create Privilege from the drop-down. You can add the name and description in the Create Privilege page.
- You can set the created privilege to an Employee from the Employees App. If an Employee has the created Privilege, then he has access to the particular object.
- You can view the new privilege in the dropdown of the Privileges tab.
Note: Creating New privileges applies to all Objects.
Let us consider setting the Privilege for Archive as View Invoices.
Here, when an employee who has access to view Invoices selects an archived record in the Invoices App, he won’t be able to make any changes to the record. He can only view it.
How to remove an Object from the Overview Page in Invoice App?
- You can remove the functionality access of an Object completely from the Invoices record. Let us consider the Print PDF feature is turned OFF.
- In this case, the Print PDF feature will not appear in the Overview Page for the Employees. Hence, they cannot print the record as a PDF.
How to enable access for a particular object based on certain criteria?
Invoices App allows you to give access to a particular object only if certain criteria are met. You can enable controlled access with Apptivo. By doing so, you can easily perform certain functions only if the record meets the conditions.
Let us consider setting criteria for the void object in the Invoices App.
- Here, select the set criteria to set the conditions.
- The criteria are set to void the records only if the customer is Jones. You can also add more than one condition for the Criteria section.
- Here, the customer is Alisa. Hence, the void button will not display on the Overview page.
- Here, the customer is Jones. Hence, the void button will display on the Overview page.
