How to send an email as an action using the Time Based Trigger in Orders App?

Orders App in Apptivo offers Time Based Triggers to convey timely information. Along with getting to know about the changes made, you can also be well informed at the right time. In addition, this will also act as a reminder.

Consider generating an email as an action when the Need By Date is Current Day.

  • Go to Settings → Orders → Triggers → Time Based Triggers in the Orders App. In the Time Based trigger page, select Create to create a new trigger.
Settings

  • In the Create Trigger page, add a name for the trigger. Along with this, set the Execution Frequency for the trigger. It can be either One Time or Recurring.
Basic Information

One Time - It will generate an action once at a particular time.

Recurring - It will generate action multiple times up to the configured date.
  • Here, One Time is chosen. In the Run On section, you can set the date and time when the trigger has to be sent.
  • Keep the Enabled toggle ON for the trigger to work.
  • Now, set the criteria during which the trigger must work. Here, the condition is to generate a trigger when the Need By Date is Today.
Criteria

  • Select the type of action that has to occur when the criteria match. Here, the action is to Send an Email.
Actions

  • In the Create Trigger Action popup, configure the sender and recipient of the email.
  • From Address: In the From Address, you can set the from email address to be static or dynamic.

Static: You can add an email address manually.

Dynamic: You can make use of Dynamic configuration when the Email address will change. You can set the email address to be an attribute, Employee, or Team.

  • Here, a dynamic sender is chosen. The email will be sent with Created By Employee’s email address as the sender.
  • Once the email address is configured, set the CC Address and Email template.
  • Trigger To: In the Trigger To section, you can customize the recipient. You can set the recipient to be an attribute, employee, or team. Here, the recipient is set as an attribute i.e Sales Rep.

  • Once the configuration is complete, select Create. A new Time Based Trigger is created.
Create Trigger

  • Create an Order in the Orders App with the Need By Date as Today.
Overview

  • Based on the configuration, an email will be generated at 2:00 PM to the concerned Sales Rep. Here, Peyton Daniel.
