How to update Associated Reference App Attribute as an action using Time-Based Triggers in the Orders App?

Timely update in Associated Reference App is made possible with Time Based Triggers of Orders App in Apptivo. The Update Associated Reference App attribute allows you to update a particular value in the associated App. You can also set criteria for associated value. Only when the criteria match in the Associated Ref App value, the desired action takes place.

Consider configuring a trigger where the Sales Rep is to be updated in the Customers if the Customer is Alexander.

  • Go to Settings → Orders → Triggers → Time Based Triggers in the Orders App. In the Time Based trigger page, select Create to create a new trigger.
Settings

  • In the Create Trigger page, add a name for the trigger. Along with this, set the Execution Frequency for the trigger. It can be either One Time or Recurring.
Basic Information

One Time - It will generate an action once at a particular time.

Recurring - It will generate action multiple times up to the configured date.

  • Here, One Time is chosen. In the Run On section, you can set the date and time when the trigger has to be sent.
  • Keep the Enabled toggle ON for the trigger to work.
  • Now, set the criteria during which the trigger must work. Here, the condition is to generate a trigger when the Customer is Alexander.
Criteria

  • Select the type of action that has to occur when the criteria match. Here, the action is to Update Associated Reference App Attributes.
Actions

  • In the Create Trigger Action, choose the Associated Object. Every record in Orders App has associated Ref App fields. Here, the Customer is chosen.
Create Trigger Action

  • Once the Associated object is chosen, select the condition during which the value has to be updated in the Associated Object. Here, the condition is to update the attribute when the Sales Rep is Caroline Forbes.
  • In the Set Associated Reference values section, you can set the action. The action is to change the Sales Rep as Peyton Daniel in Customers App when the criteria match.
Ref Value

  • Select Create once the configuration is complete. A new trigger is created.
  • Consider creating a new Order in the Orders App where the Customer is Alexander.
Overview

  • When the Order is created, the Sales Rep of the customer Alexander is checked. The Sales Rep is Caroline Forbes. It matches the trigger condition. So, It is changed to Peyton Daniel in the Customer App at the configured time.
