A Starter Guide to Triggers

Managing your workflow becomes streamlined with Apptivo's Triggers. Triggers are automation tools that generate any action as a response when the records meet the configured condition. To ensure maximum flexibility while using triggers, they are classified into two types, Event Based Triggers and Time Based Triggers. Here, we will concentrate on how one type differs from the other.

Event Based Triggers

When you opt to use Event Based Trigger, you can generate any action as a response when an event is created, updated, or deleted. Here, you will need to figure out whether to set the condition for an old field or a new field if the event is updating a record.

  • On selecting the event as created, an action will take place when a new record is created and matches the criteria mentioned.
  • When the event is selected as updated, an action will take place when an existing record is updated and it matches the criteria in triggers.
  • If the event is selected as deleted, action will occur when an existing record is deleted and it matches the criteria in triggers.

Jonathan is configuring an Event Based Trigger where he chooses the event as updated. In the Criteria field, he has set the condition to create a response when the status is inactive.

  • If he chooses New, action will occur if any change takes place in the status field and if it matches the condition.
  • If he chooses Old, action will occur if no change has taken place in the field mentioned in the criteria but the record matches the criteria.

Time Based Triggers

When you want to generate an automatic response at a designated time, you can make use of the Time Based Triggers. Here, you can decide if you want the action to be one-time or repeated.

  • Jonathan has chosen to configure the Time Based Triggers as he wants the action to occur repeatedly for a particular period.
