How to alert when multiple events are assigned to the same employee?

The Calendar activity of Apptivo allows you to schedule multiple events to an employee at the same time. When you want to assign only one event to an employee at a particular date and time, you can limit it.

  • In the Apptivo account, navigate to the Calendar activity. Select Settings from the App Header.
Home Page

  • Go to Calendar → Event Override from the left navigation panel of the Settings page. The Events Override page will come into view.
Settings

  • To get notified when the selected employee already has an event at the chosen time and date, enable the toggle for Alert the user when they create a Overlapping Event. It is inactive by default. Once enabled, you will receive a success message.

  • Consider Carter Alan already has an event assigned to him on 17/08/2020 from 9:30 AM.
Create Event

  • Create an event in the Calendar Activity that falls any time within this period. Assign it to Carter Alan.
Create Another Event

  • On selecting create, you will receive the alert notification informing you that Carter Alan already has an event assigned at that date and time.
    • On clicking Yes, the new event will also be still assigned to him.
    • On clicking No, the event will not be assigned to him. You can assign it to another employee or choose a different time.
