The Employees App of Apptivo has the triggers feature that allows you to create tasks automatically. You can also configure to create a task with the mapped fields. Mapped fields are those whose values are mapped with the fields on the overview page of an employee.
Steps to create tasks automatically with mapped fields
The Employees App of Apptivo allows you to configure two types of triggers.
Let's walk through the steps to create tasks with mapped fields automatically using Event-Based Triggers.
- In the Employees App of Apptivo, select Settings from the App Header.
- Navigate to Employees → Triggers → Event Based Triggers. Select create to create a new trigger.
- In the Create Trigger page, add a name for the trigger. To keep it active, enable the toggle. In addition, select the event during which the trigger has to be activated. The event chosen here is when an employee is updated.
- Determine the condition upon which the task has to be created. Here, the trigger must work when the Manager is Sarah Castro while updating the employee record.
- Select Task → Create From Mapping from the Actions section.
- Once the mapping is selected, the trigger is configured.
- Select create to create a new trigger.
- Go to the overview page of an employee. Here, a trigger will be generated only when the Manager is Sarah Castro. According to the configuration, the Manager should already be Sarah Castro when the record is updated.
- Now, update the record without changing the Manager name.
- In the Tasks tab, you can see a new task is added with values based on the mapping.
