How do I automatically assign leads to an employee or team?

Triggers enable automated actions such as e-mail Triggers or updating an attribute on the basis of certain criteria. You can set two types of triggers by using Apptivo CRM Software. They are as follows,

  • Event-based - Event-based triggers can be generated when the lead is created, updated, or deleted.
  • Time-based - Time-based triggers can generate an action when the criteria match at the selected time. It can be one-time or recurring.

You can decide precisely how automation is to be initiated with triggers. You may add numerous trigger conditions in order to initiate the same automation for multiple events.

Steps to Follow

  • In the Leads app, click on the More(...) icon and select Settings.

  • On the Settings page, click on the Leads → Triggers → Event-based Triggers.
  • Here, consider the scenario that you want to automatically assign the leads to an employee or team when the lead source is from the Website.
  • In the Event-based Triggers, click on the Create button.

  • In the Create Trigger page, define the following:
    • Name - Enter the name of the event-based trigger.
    • Enabled - Slide the toggle ON, to keep this trigger working.
    • Event - Choose an event for the trigger. Here, Leads Created.

  • In the Criteria section, mention the condition during which the action has to occur. Here, a trigger is to be generated when the Leads Source is Website.
Criteria

  • Set the type of trigger action from the Actions page. Here, Update Attribute.
Add

  • The Create Trigger Action panel will appear. Update the attribute details.
  • Select the Assigned To field and click on the search icon.
Update Attibute

  • In the search and select popup, select the employee or a team as per your preference.
  • Here, the sales team is selected.
Assign Lead

  • Click on the Create button to update the action.
Create Action

  • Then, click on the Create button to create a trigger.
Create Trigger

  • Now, when the lead is created with the lead source as a web site, then the lead will be automatically assigned to the Sales Team.
