How to send an email as an action in the Estimates App using Event Based Triggers?

Estimates App in Apptivo allows you to send an email as a trigger. With this facility, the concerned employees can track their estimates automatically with minimum human interference.

Jason, an employee in YRB Business wants the Employee who created an estimate to be notified whenever an estimate is deleted. To keep this in practice, he implements triggers to send an email whenever an estimate is deleted.

Steps to send an Email as an Action

  • Go to Settings → Orders → Triggers → Event Based Trigger.
Settings

  • In the Create Trigger page, add a name for the trigger. Along with this, you can set the event during which an action is to take place. Here, the event chosen is Estimates Deleted. Whenever an estimate is deleted, a trigger to be generated for the given criteria.
Basic Information

  • In the Criteria section, mention the condition during which the action has to occur. Here, a trigger is to be generated when the Estimate Date is lesser than April 30, 2020.
Criteria

  • You can make use of the Actions to set the type of trigger. Since an email is to be sent, the action chosen is Send Email.
Action

  • In the Create External Email popup, you can configure the sender and recipient of the Email.
  • You can send from two types of Email → Static and Dynamic.

In Static, you can enter an email address manually.

Static Sender

In Dynamic, you can set the email address to be either an attribute, an employee or a team.

Dynamic Sender
  • Here, the From Address is chosen as the Static Email Address. Along with this, select the CC address and Email Template.
  • The Recipient can be either an attribute, an employee, or a team. Here, the receiver is the Sales Rep who created the estimate.
Trigger To

  • Once the configuration is complete, select Create.
Create Trigger

  • You can see a trigger is created. Now, delete an existing estimate in the Estimates App. As per the criteria, the Estimate date is less than April 30, 2020. Hence, when the estimate is deleted, an email must be generated.
Deleting Estimate

  • An email is sent to the Sales Rep according to the configuration.
