How to create notes automatically with mapped fields in the Customers App?

The Customers App of Apptivo allows you to create notes automatically with the help of triggers. Apptivo CRM software also enables you to create a note with the mapped fields. Mapped fields are those whose values are mapped with the fields in the Customer profile.

For instance, you have mapped the Description of a customer profile with Notes’s description. Then, when you create a note, the description will be preloaded with the customer’s description information. Click here to know more about this mapping functionality of the Customers App.

Steps to create notes automatically with mapped fields

The Customers App of Apptivo CRM software allows you to configure two types of triggers.

    • Event Based
    • Time Based
  • Let's walk through the steps to create notes with mapped fields automatically using Event-Based Triggers.
  • In the Customers App of Apptivo, select Settings from the App Header.

  • Navigate to Customers → Triggers → Event Based Triggers. Select create to create a new trigger.

  • In the Create Trigger page, add a name for the trigger. To keep it active, enable the toggle. In addition, select the event during which the trigger has to be activated. The event chosen here is when a customer is created.
  • Determine the condition upon which the note has to be created. Here, the condition is to create a note when the status is active.
  • Select Note → Create From Mapping from the Actions section.

  • Once the mapping is selected, the trigger is configured.

  • Select create to create a new trigger.

  • Now, create a customer in the Customers App. The customer's status is active. So, a note has to be created with the mapped fields.

  • In the Notes tab, you can see a new note is added. The description of the Note mirrors the customer's note as per the mapping configuration.
