UPS integration with Apptivo allows users to track their orders and shipment directly within Apptivo. This integration helps to automate your shipments; as soon as you create the UPS shipment within Apptivo, you’ll be provided with a separate table section “Package Details”. Based on the provided package information, the user can select the Billing Method and Shipping Option that includes the UPS real-time price of the shipment. Once the procedure is done, you can see the package’s tracking number updated on your apptivo account. Get your invoices auto-synced with Xero just by sliding the toggle. This toggle has been introduced to make it easier for you to sync recurring invoices. Now it’s upon you to decide when to sync them, sometimes you might need to make some adjustments for the invoices even though they are recurring. By default, the Auto Sync Child Invoice feature will remain enabled. You could keep the Auto Sync Child Invoice disabled so that the invoice will only be synced with Xero after the update. Apptivo Mobile Release Updates as of December 15, 2021 – iOS All-In-One Mobile App: v6.3.10

Apptivo's duplication rules allow users to exclude duplicate entries and retrieve the necessary data within the system. We added this duplicate rule to the Contacts, Customers, Leads, Cases, and Opportunities apps in previous updates. We've now extended the duplicating process to the iOS platform's Cases Extended, Suppliers, and Custom-created apps. Furthermore, depending on the recommended configuration, we have improved the duplication rule to validate across different apps. While creating or updating a record, users can specify the duplication rule to Prevent Duplication automatically or Warn & Flag Duplication for review. The data will be evaluated against the other selected applications, and duplicate records will be excluded with the application information on the individual tab. Read more.

Recently, we have enhanced support to assign the individual work orders to the multiple assignees for our web applications. In addition to that, now we have extended this feature to support to Work orders application for our iOS platform. You can enable the Multiple Assignee on the settings and assign the single work orders to multiple employees as per your preferences from Apptivo’s web application. This helps your business to assign the individual work orders to the multiple assignees and help them to finish the service effectively on time. After enabling the multiple assignees, you can simply add the multiple assignees by clicking on the Add button on the Assignee To field while creating the work orders from your iOS application without any trouble. In addition to the multiple assignees, we have extended the customization for the Dispatch Calendar view fields in Apptivo Work Orders to customize the fields to be viewed on the Dispatch calendar view on our iOS application. Recently, Apptivo introduced a Payment Schedule option in the Invoices app. With this update, we have extended this support to our iOS application. Now, you can schedule the customer Invoice payments in installments as per your business preferences. With that, the invoice payments can be scheduled while creating the invoices from your iOS application. If your customer wants to pay the invoice in two or three installments, that can be scheduled with the due dates and the payment terms based on your preferable installments. The customer can make payment through the Make Payment action on the mail which will be sent once the payment schedule is initiated, and they can choose the payments as per the scheduled installments depending on the due dates. We have introduced the Bulk Print Layout in the Cases app of Apptivo to set the layout for the bulk Print PDF feature. Print PDF in Bulk Actions helps in printing the selected cases records in a single PDF file based on the cases templates. With this update, you can customize the Bulk Print Layout as Portrait, Landscape or Corresponding Layout. By selecting the Portrait, all the cases records will be printed on the portrait mode, even if the landscape template is selected in any of the records. Similarly, it will work in the Landscape mode. With the Corresponding Layout, the cases will be printed based on the individual templates of the cases. The Triggers feature of Apptivo has been a great tool to automate workflows and manage the operations like never before. With triggers, you can generate the intended action automatically based on the configured condition. This Triggers feature is now supported in the Employees App of Apptivo. We have two types of triggers - Event Based and Time Based. Event Based triggers work based on the event taken place. Time Based triggers can be configured to be one time or recurring. In both types, an action occurs only when the employee record meets the criteria configured in the triggers. As an action, you can send an email, update an attribute, call a Webhook URL, update associated reference app attribute, or create activities. Read more.

Apptivo is a cloud suite of 60+ applications and the transfer of records among applications has become simplified and organized with the Conversion feature. The Conversion feature is now supported in the Custom apps of Apptivo. The users would be able to build custom apps using the App Builder. The Custom Conversion enables users to map a particular field from the source app to the destination app. Hence, while converting a record from the source app, the data mapping becomes seamless between the Custom app and the destination app. You can also configure to convert a single record multiple times using the Allow Conversion Multiple Times toggle. While managing a call center, there are various instances where we receive unwanted calls or text messages. The Contact Center App of Apptivo now allows you to block the phone numbers that are robocalls, suspicious, or other anonymous calls and text messages. This blacklisting feature enables you to either block a particular phone number or a complete contact. We have also provided an option to allow you to choose your blacklisting preference. You can halt your entire communication with a particular phone number or enable them to send voicemails. However, this applies only to incoming calls or text messages. When placing outbound calls and text messages, you will be notified if a particular phone number is blocked. Read more.

After the introduction of Google Maps integration in the last update, our team of engineers have worked to further enhance this feature to increase the user experience. In this update, the auto-suggestion option is added to the address fields of the applications that have enabled the integration with Google Maps. Just like your Google Maps app, these Apptivo applications will also suggest the addresses of your leads, customers, contacts, work orders, or properties as you type them with no time delay. The Estimates App of Apptivo enables you to convert your estimates to contracts, invoices, or work orders depending on your business purpose. This conversion feature of Apptivo allows businesses to easily transfer the records from one application to another. The Call Recording feature of the Contact Center app has been further developed to let the agents decide whether to record a call or not. The default call recording option, when enabled, ensures that all the calls are recorded once connected. When this option is disabled, all the calls will not be recorded. Instead, the agent can initiate the call recording when required from the call window once the call is connected. This applies to both inbound and outbound calls. The Summary Boxes feature is now extended to the Orders App and Purchase Orders App. This is a significant upgrade carried out in the Supply Chain category of the Apptivo suite of applications. Moving forward, you can easily get the count, sum, or average of the filtered records based on specific criteria. This is configured on the Views page of the corresponding applications. Cases App of Apptivo allows users to authorize their customers to create and manage support tickets through an external portal. This ensures direct communication between the users and the customers. However, it is vital to set role-based permissions to ensure data privacy in the customer portal. The Portal Access Level introduced in the Cases App to control how the clients can view and manage their cases in the portal. Additionally, with the Parent Customer’s Visibility toggle, you can determine whether a parent customer can manage the cases of a child customer.

Associated Object Reports empower users to gather data from two subsequent apps without any hassle. Users don’t have to create separate reports in each App and combine the data manually. Instead, you can quickly and neatly configure the Associated Object Reports with the data you need from the desired applications. The newest update of Apptivo permits users to multi-select the values of attributes while generating a report. For example, you can get a report on two different statuses in a single report in the Contacts App.

Advanced Search feature of Apptivo is an engaging function designed to narrow down your search. With the Advanced Search feature, you can easily group the records based on a single or multiple attributes as your search criteria. The latest update permits you to search the records according to a particular range in the Number, Date, and Currency fields. Notes is a widely used function to update the changes related to the records. The Counter attribute is one of the most-asked functionalities by many businesses. This feature is now extended to the Projects App and Estimates App of Apptivo. Projects App is an efficacious tool to manage all the projects of the business. You can make use of its distinct features to add milestones, generate Gantt Charts, and perform quick actions. Estimates App, on the other hand, lets you handle your estimates brilliantly. With the introduction of Counter Attribute, you can now auto-generate numbers for different business purposes. The function attribute in the Master Layout allows you to perform basic and advanced mathematical operations on your records. Users can perform mathematical operations with other fields and any mathematical operators. This function field can be used in the Criteria section of both Event-Based and Time-Based triggers. So, when the function attribute criteria match in the records, a trigger will be generated instantaneously.

If needed, you can create your own Custom App or duplicate an existing application as Extended Apps with App Builder. You can now view the Follow-up activities in the table format. By enabling the Table View option, you can view the information regarding the Follow-ups. Table view helps you to perform multiple operations like update, delete, export and mark a follow-up as complete. The table view is enabled by default for follow-up activity in both Business settings and in the Preferences page of the User Menu. The Table view option also helps you to perform Bulk Import.

You can now decide who can access the Associated tables in the CRM apps. You can restrict user access to add or create a record in Associated tables in Apptivo. By doing this, you are enhancing the security level of accessibility. You can enable two types of access levels to the Associated tables. The All option and the Employee only option allows you to decide to whom you actually want to give access to. Besides this, the Exceptions list helps the employee to get access to add or create even when the records are not assigned to them.

With the newly upgraded Search feature, you can now search based on the attributes in the Standard and Custom tables. By enabling the Advanced search option in the search header, you can search for records based on the Table attributes. By doing this, you can get the record of an item that you need.

There might be instances during which you don’t want to send estimates. In these cases, the Set criteria feature helps you to restrict the sending process. The Send feature is enabled in the Estimates app by default. You can decide who can access the send option by setting privileges in the Estimates app. By enabling the Set your own criteria for displaying the send, you can set the criteria for displaying the send button. Also with the Edit criteria option, you can set when and not the send button should appear.

Now you can easily change the name of your Work Orders app according to your needs. By enabling the App naming option, you can change the name of the app depending on its functionality. Also, based on the number of records, the app names will automatically get modified between singular and plural names.

You can now add and delete any number of items in the Items app. In order to avoid confusion and misnumbering, Items app has come up with an option to permanently delete the items that you claim to be unwanted. Once you delete the item from the Overview page, the deleted item will move to the Trash. You can open the Trash and enable the Delete forever option to permanently delete the item. In case, if you change your mind and wish to restore the item, you can enable the Restore button.

You can add information to the records of any apps in Apptivo using the Ref App fields. Just search for the records using the Ref App fields in Advanced search. This is also extended for radio buttons, multi-select, and toggle buttons of the Ref App fields.

Get on-time updates of the changes done to your tasks using the Trigger feature. Get to notify the Employee, Contact, or Team to whom the task is ‘Assigned To’ with the assistance of Trigger. This is done by sending an email as a trigger. This applies to both Event-based and Time-based triggers.

While you send your Estimates for signature, the action can be performed using the E-sign feature. In case, if the sender wants to make changes in the Estimates of the documents while sending it for signature, the customer can very much use the Request change feature to add the desired changes. A Little Tweak In The Campaigns App

The Access level in the Campaigns App works based on the “Assigned To” field. So, while you are setting a security access level, it automatically involves the employees, whose names are populated in the Assigned To field of the Campaigns App.

Making the Assigned to the field as mandatory will work well with the new records that are created. The "Assigned To" fields automatically comes up for the existing records and it cannot be removed. To cope up with the existing records, the Assigned to fields will be auto-fetched. If the Assigned To field in the existing records are empty, then the name of the person who created records are pulled up as "Assigned To” name.

In the Leads app, map the items of interest section from leads to Opportunity. The Amount field will pre-populate based on the selected option in Leads Amount settings: “Entered manually” or “Rolled up from Items”.

When the entity type is selected as “Enterprise duplication” then the duplication is checked across all the entity. When the entity type is selected as “Business duplication” then the duplication is checked only in the current entity.

In Leads settings, an email notification will be sent to superuser and the user one who made changes when the information of Lead statuses are updated or the visibility toggle of a Lead status is enabled/disabled.

On clicking the "View Report" button, an alert message will be displayed about the report progress status. You can view the report by clicking the "History" button.

You can use the trigger to update the associated reference app attributes. Based on the trigger and the associated reference app attribute update criteria, the values for the reference app can be updated in all the CRM Apps.

You can now create General reports in Contacts by setting up the criteria. On choosing Business reports, the records will be pulled from the current entity alone. Enterprise Reports pull the records of the current entity and all the sub-ordinate entities.

Data Sets in Apptivo gives you the ability to provide access privilege of object records to a specific group of people. Data Level Access in Invoices restricts access to required individuals so that the invoices assigned to them alone can be accessed and worked upon.

Apptivo News Feed is the constant updating of timeline happenings which is used to display the current activities of your Employees. The newsfeed feature is now available in the Teams app. Both the simple and detailed newsfeed is made available in the Teams app.

Apptivo Estimates and Invoices App allows you to sort specific fields in the database. You can view the records of any fields either in alphabetically ascending or descending order.

You can now create a Work Order from existing Work order with all pre-filled fields. This can be done by selecting “Create Work Order -> From Another Work Order” in Show all page.

Access Level security gives the System Administrator (Super-User) the ability to restrict the access level and set up View/Edit access to his/her employees. Now, this can be configured in the Campaigns App.

If the superuser of the firm or the admin ends the employment of an employee, then the employee account’s session will be timed out. The terminated employee will receive an alert message that the session has been timed out and redirected to the sign-in page.

A custom view is a feature that lets you search & filter the list of calendar appointments. In calendar, this feature acts as a filter so that a user can separate out types of appointments that have been indicated by a custom field.

A noteworthy feature implemented in this release is the 360-degree view Association for all Apps. 360-degree allows you to view the objects in Apptivo, that is associated with the current app you are looking at.

Apptivo presents you with an option to associate the attributes of all the apps in the Apptivo with the Collaboration Activities. We have implemented the feature of voiding the invoices in bulk. This saves you time and makes it more productive.

The Row-level Preview option for the line level sections is now implemented in Apptivo. Once the preview option is accessed, you can view and edit the line level attributes in the side panel pop-up.

Creation of line numbers is enabled with the use of the counter attribute in the line level. You can now automatically generate line level numbers in the Purchase Orders and the Orders App.

Generating barcode can be used to scan the generated barcode from the printed Purchase Orders or Orders and it would deliver the purchase order or order number to the device that it is connected to. Generating barcode in one of the most awaited features implemented in Apptivo.

The export option is now added to all the tabs in the Target App. All data in the Targets App can be exported by segregating them.

Any contacts that you save in the Contacts App can be enriched with additional information using this feature. This enables you to enrich the contacts’ details.

The Apptivo Add-on for Gmail

Your company’s G Suite administrators can place restrictions on add-on installations or install add-ons for everyone on your domain. If you receive a message preventing installation, please contact your G Suite administrator.

The first time you open the Apptivo Add-on for Gmail, you will need to sign in to your Apptivo account.

Viewing records related to an email is automatic in the Apptivo Add-on. When you open an email, information of records matching your Apptivo records will be displayed. To open a new tab and view the full record in Apptivo, click “View in Apptivo” to open in Web.

The Apptivo Add-on for Gmail will automatically display the contact information of the email you're viewing. When a person doesn't have a matching Apptivo record, you can choose to add them as a Contact, Customer, Lead, Supplier, Case, and Opportunity.

You can Associate Emails from your inbox or sent folder straight to Apptivo with the Add-on for Gmail. There are multiple ways to do this. You do not need to have a G Suite account connected to Apptivo to use the Add-on. It will function with any Gmail account.

Apptivo Password Policy

The minimum number of characters in a password can be set as a parameter for setting a password for an account in an organization. Apptivo has a minimum password length of 8 characters. Whenever you reset your password, the new password should contain a minimum of 8 characters.

The password combination makes the password stronger. The combinations make the password unpredictable. There are a few parameters for settings a password which is mentioned below.

The password policies enclose the action of resetting the password. If you hit the “Reset Password” button, then you cannot repeat the same password that was used prior. A new password is to be created at this instance. This rule goes for five attempts. Any password that was used, can be reused on the sixth attempt. Let’s look into the flow of resetting the password.

Another policy added to the list is the account lock settings. When you are not sure of the password and give an attempt to sign in, but lose it. You can make another four attempts, i.e., a total of five unsuccessful attempts after which your account gets locked for security purposes.

You can keep a track of the attempts made to reset the password. As an email will be triggered to your login email if you click on the “Forgot Password” button.

Opportunities App now allows you to make changes to the existing records while updating the existing records during import. This is one of the long-awaited features which has been implemented with this release.

Apptivo provides “Grouping attribute” option to import the table attribute data which will be reflected in the custom table section of the Contacts, Leads, Customers, Opportunities, Employees, Items and Distributors App. Grouping attribute takes the attribute values and puts them into groups, with each group given a unique name. Now you have the option to import the line level attributes in the respective apps.

An electronic signature or eSignature is recorded in an electronic form which is intended to provide secure and accurate identification of the signatory. Apptivo is now integrated with Sign.co for eSignature in the Work Orders App too.

One of the noteworthy implementations in this release is the option to track the status of the properties in the Properties App. This option is made available only for the newly created records or the updated records.

This is one of the most awaited features of this release. Support Plans gives you the ability to define the limit of the case created by the customer, based on the support plan provided. The featured implementation of this release is the availability of the Support Plan Information as a section. The selected Support Plan Information will be displayed in this section. If a new plan is selected, then the previous plan will be overridden. The plans selected for the customer will be collected in the Association table.

Apptivo presents you with an option to associate the attributes of all the apps in the Apptivo with the Collaboration Activities. Once you decide to Convert the Apps in Apptivo, you can also associate the activities associated with them. This will enhance the experience of using Apptivo and lessen the work of associating the activities individually. You can associate Activities like Tasks, Events, Emails, and now to Notes too.

A noteworthy feature implemented across a list of Apptivo App is the Access Level Edit privilege. MRR is one of the long-awaited features which is now live. The Monthly Recurring Revenue (MRR) Report measures the predictable and recurring revenue a business can expect every month. It will typically include one-time and variable fees for month-to-month transactions.

Importing data from CSV is a brand new feature that is available in the Invoices App. This feature allows you to import mass invoices into the system. You can then edit and manage the Invoices.

Milestone can add significant value to the project. Each milestone has several tasks associated with it. Milestones Status allows you to schedule the project with the appropriate segments, which helps to solve the issues arising in parts. Each milestone is broken into several tasks should also define with a start, and end date or the deadline for completion and this can be assigned to an employee. One of the significant features deployed this time is the implementation of Milestones Status in the Projects App.

There are numerous situations where you might need to keep a customer informed of the status of a specific Projects in your Projects App. Apptivo provides the ability to add third-party customers to particular projects so that they can log in and view the progress of the project's details using their account. You can now create your web portal in the Projects App, and see the portal URL performing the required Actions in the Web Portal section.

A Purchase Order once issued, becomes a contract to deliver the products at the specified price. Once the order is placed, the Item tax is included, and the supplier is obligated to accept the Purchase Order with the tax or reject the entire Purchase Order.

You can now find the Summary section for Change Orders similar to the Summary Section in the Work Orders. The Summary section gives you a clear overview of the Change Order Amount calculation.

Xero is a cloud-based accounting software that was developed specifically for small and medium-sized business. You can integrate the Apptivo Invoicing app with Xero. You have first to authenticate the integration and then sync the records to import them into the Apptivo's invoicing software. You can now sync the customers from the Apptivo Account to your Xero Account as contacts.

Projects app allows you to export projects into a spreadsheet. Additionally, you can also export the current fields and even with all attributes. One of the remarkable features of this release is setting privilege for the Export option in the Projects App. You can now set the privilege in the Project app to export the projects accordingly.

Recurring Supplier Invoices are flexible in letting you decide whether Supplier Invoices are emailed out automatically. Send a Supplier Invoices to your customers on a regular interval for the same amount of product/services provided. Enable the Recurring Supplier Invoices to generate a new Recurring Supplier Invoices for the Customer. This is one of the long-awaited features that has gone through in this release.

We have designed a new Payroll Invoices Template for one of our Customers. Invoices App offers a great new tool that allows you to create your custom templates which will be used to generate PDF versions of your invoices. By default, Invoices App has sections for Tasks, Projects, Items, Timesheets, Work Orders Milestone, and delayed invoices. You cannot remove these standard sections from PDF, but these sections will not be displayed in PDF if it does not have data on it.

A paramount feature that has been moved this deployment, is the access to add the same items in the line level in Orders App. It's vital for any Business to provide Items/Products promptly to the Customer based on an order placed by them. Duplicating Items has now become available to achieve this.

Apptivo provides the ability to add third-party customers to their cases, giving them a separate login so they can view the progress of their existing case details from their account and even create their cases using the Apptivo Customer Portal in the Cases App. This feature of Support Plans gives you the ability to define the limit of the case created by the Customer, based on the support plan provided. The first feature that has been enhanced is the automation of the Support Plans to limit the cases created.

Apptivo Intelligence Dashboards allows you to present your business information, attaining a new perspective, and share it with employees and teams. You can create such dashboards using custom reports and charts.

Customizing the master layout to our usability is one of the most significant advantages in Apptivo. The table sections can now be converted to form sections. The modifications can either be made for viewing or editing the objects. The Form Layout feature is available in all Apptivo Apps.

An eminent feature in this release is that we have supported “Currency” attribute (Standard and custom - Header Level) in Line level custom currency attribute as well. This feature is implemented globally to support standard currency field in the standard and custom Table sections for your convenience. This feature is supported in all Apps that have a standard Currency attribute. Likewise, Line level attributes are supported in header level.

We have implemented the Intelligence Dashboard in Contracts App to present your business contracts graphically and to share it with employees and teams. Data reports/charts are displayed in the dashboard to give a crisp and simple overview of current business progress using tables and graphs. These dashboards are fully configurable and privilege-based, giving the required information in real-time.

One of the significant enhancements made in this release is the Access level setting in Cases and/or Cases Extended App. Access Level security gives the system administrator (super-user), the ability to restrict the access level and set up View/Edit access to his/her employees. The most awaited feature of this release is Associating the Opportunities to the Target List. Advanced search in Leads app is now enhanced for “Assigned To” field. The Advanced Search window holds the details of the Lead. While searching with “Assigned to” field you can either choose an Employee or Team. In Master layout, make sure to enable the Include Employee / Team Toggle in Inspector Tab of “Assigned To” Field. If you select an Employee, the Leads assigned to the Employee as well as his team will be shown in the search results.

A noteworthy feature in this release is the 360-degree view Association from Projects to Invoices and vice-versa. 360-degree allows you to view the objects in Apptivo, that is associated with the current project/invoice you are looking at.

A prominent feature in this release is Statuses Toggle in Work Orders App. We have the option to edit the information in the records of work orders by enabling the status toggle. A noteworthy feature implemented in this release is the Global Search of the Legal Entity records. You can now search for the records globally where a Super User can directly search and fetch all information from the Parent or the Child Firm.

You can now set Triggers for the Standard “Search and Select” Ref App fields. Triggers were set for the Reference App and the Standard fields of the App so far. Now you can set the triggers to the Standard Search and Select Reference App fields.

One of the most important enhancements made in this release is the import of “Unsubscribe” and “Bounced” fields in the Contacts App. Apptivo CRM allows you to import your Contacts into Contacts App in CSV format. At a time you can import up to 5000 records. This minimizes the manual effort of entering the data one by one. Also, duplicate contacts can be filtered while importing the data.

Adding to the noteworthy implementation list is the creation of Tags by Employees/contacts. The Super User of the firm has access to the creation of the tags while the other users can use the created tags. But, you can also provide the privilege of creating tags by the other users without giving access to the Settings. You can provide the privilege of creating tags in Contacts, Cases, Customers, Leads, and Opportunities Apps.

A Paramount feature that is implemented in this release is the creation of the Legal Entities from the Ledger App. While creating a Legal entity, you can easily Copy the configuration from the other Legal entity / Business. (Note: The copy configuration which is based on the custom references or values will not be copied from other legal entity)

Discount in the Work Orders App enables you to configure the position of discount in the Work Orders. So far, the discount field will be applied to all the items in a Work Order at the Header level. This enhancement will now enable you to capture discounts at the Line level too. To be precise, you can apply different discounts for various items in the Item line level of a Work Order.

Apptivo Product Updates As Of February 16, 2019 - CRM, Supply Chain, Financials and Collaboration

You can now update the Ref App fields using the Bulk Actions feature in all the CRM Apps. This feature is now available in this release. The updated piece of information gets updated in the Parent App too and vice versa. This feature is currently available in the below CRM Apps:Cases, Contacts, Customers, Leads, Opportunities, and Work Orders.

A note-worthy implementation of this release is the auto-update feature for the Ref App fields. Say, for example, if you update the Parent App, you can find the information being updated in the Ref App fields too.

You can find the Advanced Search feature being enhanced with the facility to search with the “Created By” and the “Modified By” fields. This allows you to search based on the Sales Rep. For instance, let us consider the Customers App.

You can find that the top stages from where the Win occurs in the Win Analysis Report are increased to 100 from a default value of 25. You can now, use this enhanced feature to view the stages that bring in the maximum win along with the respective amount earned from them using the Win Analysis Report in the Opportunities App.

The most awaited implementation made this release is the addition of Bulk Actions to the Receiving App. You can now bulk export the receipts to the .csv format and make use of it. This feature will make things handier while using Apptivo.

A noteworthy implementation of this release is the support of the triggers for the line-level attributes in the Orders App. You can create triggers while creating an order or updating an order depending on the line-level attributes, say for example Products/Items.

A Milestone is a testimonial point that marks a major event in a project management system and is used to monitor the Project Management process. Setting up milestones for a project should present a series of events that will incrementally build up to the completion of the approved project. With this release, you can bulk update the Milestones in the Projects App. this being the long-awaited feature will allow any updated being made in bulk to the Milestones created.

Advanced Search in Invoices App allows you to search using the fields available in the Master Layout of the Invoices except for the Services & Items section. You can advance search the Date fields using the functional attributes. This feature is supported in this release to search the invoices with a specific period of time or the exact time depending on the function created.

Work orders App allows you to print your work order information using the "Print PDF" option in the overview page. You can now include the automated Serial Numbering for the work orders that you create both in the Overview page and while printing the work order. This was one of the long-awaited features that are made available now.

Tasks are a specific itemized work or a single initiative which can be associated with any number of objects like case, orders etc. You can now bulk assign the tasks to multiple employees in order to accomplish it in a short span of time. This, in turn, will increase the productivity of the organization.

One important enhancement made this release is the Recently Logged in details from the Switch Business, to keep track of the business you log in. You can learn more about this from our answer post on Switch Business.

The most important feature released this time, is the ability to copy and paste the images or logos while sending an email. You can copy and paste images that in the format JPG, JEPG, PNG, GIF

An important enhancement made this release is the addition of the Follow-Up date and description to set both the Event-based and Time-based Triggers. You can now use Follow-up date and Follow-Up Description as a Criteria when you create Triggers in Cases App.

A noteworthy enhancement in this release is the implementation of reports to track the hours spent on the Cases by Customers. In Cases App, you can enable the timer for resolving issues with the cases. A new Report in Cases App, “Cases Hours by Customer”, is available to list the hours logged in Work Logs.

A note-worthy update in this release is the Newsfeed in Projects App. Now get all the updates on your Milestone and Tasks in Projects App directly on your Newsfeed. You can find the tasks and the newsfeed has the Associated With the field that reflects the newsfeed to the associated object too. You can get the newsfeed for the sub-tasks within the parent tasks once created.

Triggers empower you to automate the actions based on criteria, increasing effectiveness and ensure that the business process does not slip through. Estimates App allows you to set the following two types of triggers - Event-Based and Time-Based.

Every one of us had come to a point, where we expect actions to be done a single step. The Suppliers App gives you the privilege to do Bulk Actions instantly within Apptivo. A long-awaited feature is the implementation of the Bulk Actions in the Suppliers App is available now.

The multi-warehouse feature is now available in the Orders App. You can choose the Warehouse at either Header level or different warehouses for each order line. However, we do not have the feature of choosing the same item from multiple warehouses within the same order (Items should be unique at an Order level).

One of the long-awaited features is to Switch the business accounts when logged in has been made available now. You can now use the Switch Business button the switch between the different businesses that you use. If you have access to multiple firms, you can Switch Firms without having to log out and log back in.

ATAG allows you to associate an email with objects such as case, leads, customers, pricing etc. You can now enable the ATAGs while creating the email templates in the Subject field and in the content of the mail that is composed and it will generate an automated ATAG in the "Subject" field and in the “Composed Email”, this represents the association of a particular object.

Two long-awaited features Recurring Events and Recurring Tasks are available with this release. You can now create recurring calendar events on a daily, weekly, monthly or yearly basis and schedule recurring tasks accordingly.

Apptivo Product Updates as of January 19, 2019 – CRM, Financials, Supply Chain & Collaboration

You would be aware of the Data Access Sets in Apptivo, which restricts access to required individuals so that the records assigned to them can be accessed and worked on and not the remaining records. Data Sets in Apptivo gives you the ability to provide access level privilege of object records to a specific group of people. In this release, you can find this feature implemented in the Leads App, Pricing App, and the Items App.

In the Contacts App, you can now get the Associated Object Reports which is the brand new implementation of this release. This may include the reports of the Associated Activities too. You can customize the fields of the Customer App by associating them using the “Nested Criteria” feature along with the Activities that should be visible in the Associated Reports.

Once you procure customer requirements, the next step is to create an estimate. You send the estimate to the corresponding customer for his approval. Now you can Approve and Reject the Estimate in the Estimate Overview Page once the email is sent, rather approving or rejecting from the link sent in the email.

You can now edit and update the start date and end date (due date) of the project in the Overview page. To update the project duration, you can also update task duration. This is because the Project's start date and end date is driven by task dependencies. An enhancement in this release is that you can disable the toggle to Set the Start and End date of the Projects from the Settings, you can edit the dates straight from the Project Overview page.

One of the major implementations in this release is that if you change the Property Stage in the Properties App, it will get reflected in the Property Information section in Opportunities App.

A noteworthy enhancement in this release is that you can not only create items individually or you can import the list of items into Items App with a CSV spreadsheet file but also Update an existing item while importing the items in the Items App.

Apptivo Purchase Orders App gives you the ability to perform specified actions to more than one purchase order simultaneously. Using these bulk actions in the list views in the Purchase Orders App, you can make changes to an n-number of purchase orders instantly. From now on, you can export the table section in Purchase Orders.

Documents, along with notes, appear in nearly every application. This is important because it allows yourself, and your employees, to store documents & files in a sharable & organized manner. There are many excellent uses of the documents feature, such as storing sales proposals, project plans, contracts, standard procedural documents, or even project deliverables, such as reports, logos, design mock-ups, you name it!

A noteworthy implementation in this release is the Summary Boxes in the Cases App. You are aware of Views in Apptivo. These views filter a set of objects or fields with the specific criterion. Be it a Standard View or Custom View, you can add the Summary boxes to the Apps. This feature gives you the sum, count or the average based on the condition that you set. The Summary Boxes are now available in the Cases Apps.

A cool enhancement of this year is the Ref App support in all the CRM Apps while importing the .csv files. Check how to import the files in Apptivo by clicking here.

An additional enhancement to the Cases is to limit the cases assigned to the customer by cases, email or manually assigned cases. This feature of Support Plans gives you the ability to define the limit of case creation by the customer, based on the support plan provided.

Newsfeed Notification is a prominent feature found across all Apptivo CRM Apps. An improved feature for the News Feed is the Detailed News Feed in the Candidates App. In Apptivo CRM, you can also set your notification preferences across the entire app as well as the individual feature by simply enabling or disabling the notifications in the Apps. If the box is checked for the news feed, you have opted to receive notifications for events of that type.

Xero is cloud-based accounting software that can be integrated with Apptivo and the data can be synced. By this integration, you can now create and sync Service level in Invoices in addition to the Items Level.

You can now stop the Scheduled plan when you stop (Void) the Parent Recurring Invoice. The schedule makes invoicing easy by viewing everything you need in one sheet. That is you can send an unlimited number of customized invoices to the customers and track them all. An Invoice Schedule consists of the invoice for months, amounts that are used for the creation of invoices, total months planned and the total amount of the invoices.

One of the specific implementations this release is the availability of the Pick Release button in the Orders App . This will allow you to move the orders for Shipping.

August 27 Apptivo Updates - Procurement V6, Email Tracking, CRM View Builder

A few months back, we introduced a new “View Builder" tool into the Cases App, and we’ve received very positive feedback. This release we introduced the same feature into our Contacts, Leads, and Opportunities Apps (customers will come next release). This feature is available only to administrators, and appears as part of the existing “Views" settings.

Recently we launched our campaign management with open & click tracking on each email, and now we’re bringing some of that technology into every email in the system. Administrators can now enable email tracking from inside of the Email App settings area, and Apptivo will begin automatically tracking when emails are read by their recipients. This will include sales emails, support ticket conversations, invoices, quotes, or any other email you send from Apptivo.

Expect more general CRM improvements, with a focus on some new features around the calendar & activities. Additionally, you’ll see a couple great new features added to the Campaigns App, and the new Projects V6 & Employees V6 are nearly ready for release. We are opening up the new version of projects to anyone who would like to test it themselves, as we’ll be updating the main product in the coming weeks. Set Up Apptivo for Cold Calling Efficiency

First, let's talk about calls in general within Apptivo. There are certain apps called "context apps", which will contain phone numbers, emails, addresses, etc. These apps are: leads, contacts, customers, suppliers, distributors. While all apps provide a place to capture phone calls & notes, only these context apps have phone numbers. Specifically for cold calling, you are only dealing with people that you haven't spoken to before, so either the Contacts App or Leads App would be used. The most common scenario is to have a list of leads (which could be imported from a spreadsheet or outside source), then quickly go through the list of leads calling then, and updating each sales lead as you go.

Creating Custom Formulas With Function Attributes

Every business has unique processes, so these are just a few examples that might provide some ideas on what custom calculations would make sense for your system.

The general settings around field label, visibility, etc all exist for function attributes.  It acts like any other text field or dropdown you might add, except that the value is automatically calculated, instead of allowing a user to enter.  The two key settings are the formula itself, and the digit output settings which format the result of the formula.

In this example we’ll add a field that calculates what sales commission can be expected for an opportunity.  We’ll take a simple approach of calculating 3% of the deal amount.

So that’s one quick example of a function, but there are many other ways to make this feature more powerful.  You can start to introduce more advanced options by combining custom fields, and conditional rules.  For example you might want to have 1 separate field for “Commission %”, which is calculated based on another formula or some other criteria.  Then use this commission % as an input to your main calculation, allowing you to award a different commission amount for different employees or types of deals.

Updated Mobile CRM App on Android

Why yes... yes we did. For starters, you can be looking at any contact, customer, or lead in the app and find a phone number. Simply click on that, and your phone will dial the number; then when you hang up, Apptivo will pop up with the recorded duration & type so all you have to do is enter a short note and save!

You'll find that the tool still operates the same, but the entire design has been refreshed to not only look more pleasing, but also offer fewer taps to reach the data you need. We've also performed a few other specific updates:

We're working hard on more mobile access for Apptivo users. Currently we're focused on delivering the updated CRM mobile app for iPhone & iPad users. Also, our Android team is working on some further enhancements for the CRM app, and the next apps in line are Work Orders & Project Management.

On April 7, 2014, security researchers announced a recently-discovered vulnerability called Heartbleed. By exploiting this vulnerability, attackers could access sensitive data, compromising the security of the server and its users.

Now Search & Upload Google Drive Documents More Easily

You will still continue to see the "From Google Drive" field on the documents tab of any app in our system. But, upon selecting this field, everything has changed. You will now be presented with a fresh new popup containing Google's drive search & upload files and folders to more easily find the one you need. Here are a few of the key points:

Updated Email to Case Feature - Automate Your Support Ticket System

This is a feature that allows you to specify a certain email address that your customers can email. When a customer sends a message to this email address, Apptivo will automatically take the content of the email, and generate a support ticket inside of the Cases App. Once this case is created, the system can send an automated response to the customer, which can be totally customized for your company.

In the previous system, the customer would send an email and receive an automatic response. But, there are two situations which would produce an undesirable result:

This system works by including a special identification number within the subject of your email. When the customer receives the auto-response, or when your employee sends a mail from within the system, something like this text will appear in the subject line "#A-CS-16685". Apptivo will use this ID to associate the email to the proper case. Here is an example:

We have the same exact "email to object" feature within several of our new apps, such as leads & customers. But, the special "hash tag" functionality applies to every application. Now when sending an email from any app within the system, we'll automatically include the hash tag within the subject line. Any responses including this hash tag is automatically associated to the proper record!

Hot off the Press: Customers App Version 5.0 Released

V5 is not a single change or upgrade, nor is it a completely different application that will require re-training or change how you use the software. Version 5 is a collection of enhancements, which can/will be applied to each of the Apptivo applications. While there are many different enhancements, they are all centered around making the system more user-friendly, reducing the number of clicks it takes to complete actions, and allowing greater control over security, data storage, and search/reporting.

You may have seen our preview post back in June, which highlighted most of the new V5 features. Unfortunately we had to remove one or two of these features temporarily, but you can count on these becoming available soon. As of now, here is the list of major V5 enhancements to the Customers App:

Now that Customers App has been converted to V5, we are focused on two things: (1) Get feedback from customers like YOU, and see how we can improve Customers V5. (2) Work to update all apps in V5. We will update about 2 apps every 2 weeks, until the entire platform is V5.

Sneak Preview: Apptivo Upgrades to Version 5.0 - Are You Ready?

We have been working very hard at Apptivo and are happy to give you a sneak peak at what's to come in Version 5, also known as V5. If you don't know already, V5 is a massive group of changes coming to ALL apps to improve efficiency and accessibility. Since we're slowly rolling V5 to all apps, we're going to begin with the Customers App and work our way through releasing all of the apps.

These changes are all brought upon by customer requests, and the various features and adjustments that each one of you has requested. As you can see from this short list of changes, each app will become very customizable, making the product better suited for any type of business. More security is added to give you more control over what your employees see and can edit, as well as tools to allow users to more quickly access their data. At the end of the day, this product is about YOU, our loyal customers... and we hope that these upgrades will make Apptivo even better and easier to use, to help run your business more efficiently.

We are actively working on upgrading the Customers App to V5, and we plan to release it very soon. We'll be performing a closed beta test next week with a few select customers, and we plan to go public before the end of the month. New Mobile CRM App Available on Android Phones & Tablets

This first version of Apptivo mobile will include all of your central homepage dashboards, so you can always stay up to date with your company news feed, or quickly create any tasks. The Difference Between Leads & Opportunities in Your Sales Process

A sales lead is a set of contact information for a person or business, which could somehow facilitate a future sale. Typically a lead will be a single person at a business who is looking to purchase a service or product you offer.

Simply put, a sales opportunity is a qualified sales lead.  This means an opportunity is also an object which represents a potential deal, but this specific deal has met certain criteria which indicate a high value to the business, or a high probability of closing.

Now that we understand the difference between our two types of potential deals, we need to identify the point at which a lead is considered “qualified”, and moved on to the opportunity stage.  Before picking any specific criteria, start off by mapping out your sales process from start to finish, in sequential order.

Once you’ve clearly mapped out the steps in your process, it’s simple to make your Apptivo CRM sales process use the same process.  Once you set up the proper stages into each app, your salespeople can simply advance their lead, and it will be moved to the next appropriate stage automatically.

Zipmark eCheck Gateway - New Payment Option for Invoices

Zipmark is an online payment gateway, which makes it simple and safe to quickly send or receive payments directly from a checking bank account. Zipmark users can make a payment from their mobile phones using a cool QR code billing system, which makes it simple to scan and pay an invoice. Now that Zipmark & Apptivo have partnered together, it is now extremely simple for any business owner, freelancer, or accountant to provide Zipmark's eCheck processing as an option for their users directly on their Apptivo invoices.

As mentioned above, there is a $5 maximum fee for any invoice, period. If you are invoicing for smaller numbers, the fees are still very reasonable, at only 1%. When your business relies a lot on individuals or businesses where there is not much of a difference between an individual and the business they are part of a contact oriented system..
